Booking, Cancellation and Rescheduling Policy

 

At Vera Mental Health Clinic, each appointment is carefully allocated to ensure high-quality, specialist mental health care. When an appointment is scheduled, that time is reserved exclusively for the client and the clinician involved. For this reason, the following booking and cancellation policy applies to all services provided by the clinic.

 

 

1. ADHD Assessment Policy

 

ADHD assessments involve multiple clinical stages including structured assessment, professional preparation, clinical review, and where applicable, psychiatric evaluation. Due to the clinical resources allocated to each assessment, the following terms apply.

 

Payment and Booking

 

Full payment is required at the time of booking in order to secure an ADHD assessment appointment. Appointments are not considered confirmed until payment has been received.

 

Refund Policy

 

Fees for ADHD assessments are generally non-refundable due to the clinical preparation and administrative work involved, except where required by applicable law.

 

Rescheduling

 

Rescheduling requests may be considered only in exceptional circumstances such as illness or medical emergencies.

 

Where appropriate, the clinic may request supporting medical documentation. If approved, a one-time rescheduling may be offered subject to clinician availability.

 

Non-Attendance

 

If a client fails to attend the appointment without prior agreement or valid justification, the appointment will be considered a no-show, and the fee will be forfeited.

 

 

2. General Appointments

(Psychiatry, Psychology and Therapy Sessions)

 

This policy applies to:

• Initial consultations

• Follow-up appointments

• Individual therapy sessions

 

Payment

 

All appointments require full pre-payment at the time of booking. Time slots are not secured until payment has been received.

 

Cancellation and Rescheduling

 

A minimum of 48 hours’ notice is required to reschedule an appointment.

 

If sufficient notice is provided, the payment will be held as a credit and applied toward a rescheduled appointment.

 

Late Cancellation or No-Show

 

If less than 48 hours’ notice is provided, or if the client does not attend the scheduled appointment, the session fee will be charged in full and cannot be transferred to another appointment.

 

 

3. Exceptional Circumstances

 

In rare cases where a client is medically unable to attend, the clinic may consider an exception to the standard policy.

 

Where appropriate, supporting medical documentation may be requested. Any exception remains subject to clinical discretion and practitioner availability.

 

 

4. Administrative and Transaction Costs

 

Payments cover reserved clinical time, professional preparation, and administrative costs associated with delivering specialist services.

 

By proceeding with a booking, clients confirm that they have read, understood, and agreed to this policy.
